Bluebeam Studio

Collaborate with your team across the office or across the globe with Bluebeam Studio. Add markups to PDF documents today, tomorrow, together or separately all from within Revu's interface. With Studio, teams can chat and post markups to a single copy of a PDF using Bluebeam's easy to use markup tools such as text, highlights, clouds, callouts, CAD symbols and measurements. The result? Online collaboration that makes sense.






Start or Join a session

Start a session, upload your PDF files and invite anyone to join you. Or, click Join and enter a session ID from an invitation. Any attendee of a Studio session can markup a PDF file by by using Bluebeam PDF Revu as a free viewer. A fully-licensed version is required to start a session in Revu.



Recents

The Recents section lists the active collaboration sessions that you created and attended. Click on the session name to rejoin and add new markups or review the Record of markups and chats. Sessions are active for 14 days after the last activity, giving you and your team plenty of time to collaborate, save files and create reports.



Documents

The Documents section shows a list of PDF files that have been uploaded to review in the collaboration session. Click on the file name to view that document.
Attendees

Revu displays a list of users who have joined the session and their current status. Here you can see which document a user is viewing or choose to follow an online user to see exactly what they are seeing in real-time.



Record

The Record section tracks all activity in a session including attendee status, PDF markups and chats. Each item in the list links back to the PDF document and displays the same view of the PDF as when the comment was made. The Record activity can be filtered and summarized in a report when the session is finished.



Finish a session

The session host can finish a session at any time. When finishing a session, the host can choose options for saving the PDF documents and create a report of the Record activity for archiving purposes.



Studio FAQs


Do I need an account to join a Studio session?
Yes, an account can be quickly created by entering an email address and password.


What do I need to start a Studio session?
You need three things to host a Studio session:
  1. A license of Bluebeam PDF Revu (version 8.5 or above) or an active trial
  2. An email address so you can create a Studio account
  3. A broadband internet connection
Users with a license of Bluebeam PDF Revu 8.5 or above or a fully functional trial can start a Studio session as the host. The host starts the session, adds PDF documents, invites attendees and defines the security and permissions (save or print PDF files). They are the only ones who have the ability to generate a report of activity in the Record or finish the session. The host does not need to be in the session for other people to join the session and add markups. Once a session is started, anyone who has been invited can login to the session while it is active on the server.


What do I need to join a Studio session?
You only need three things to participate in a Studio session:
  1. An installation of Bluebeam PDF Revu (version 8.5 or above)
  2. An email address so you can create a Studio account
  3. A broadband internet connection.
You do not need to purchase a license of Revu to participate in a Studio session. A trial, expired trial or registered installation of Revu can be used. If you do not already have Revu installed, you can download the trial here. A Studio Account must be created so the Host can authorize you to participate in the session and so other Attendees can identify you. The account is free and only requires a valid email address. A broadband internet connection is required so you can connect to the Studio server, studio.bluebeam.com. A dial-up connection will not be a fast enough connection. Revu makes outgoing connections using Port 7398 TCP / UDP.


What is the maximum number of users that can join a Studio session?
Up to 32 attendees can join a Studio session.


What is the maximum file size for a Studio session?
Up to 10 PDF documents can be uploaded in a session and each PDF file can be up to 25 MB in size.


What is the maximum size of markups that can be added to a PDF in a Studio session?
Each markup added to PDF files in a session can be up to 5 MB in size.


How do I add and remove PDF files from an active session?
Only the host can add or remove PDF files from a session. To add a file, click the Add File button in the Documents section of the Studio tab. The Add Files to Session dialog will display, allowing you to select new files to upload. To remove a file, right-click on the name in the Document section and then click Delete or click the red Delete button at the right of the document name.


How long does a Studio session remain active on the server?
Studio sessions remain active for 14 days after the last activity and then become inactive. Simply rejoin a session to renew it. The session will then remain active for another 14 days before it becomes inactive again. If the session stays inactive for 30 more days, it will be deleted from the system. In the Recents list, session names are color coded to designate their status. Sessions marked with a yellow icon are active. When the icon turns orange, you have 14 days remaining before the session goes inactive. A red icon indicates the session is about to become inactive. You can hover your mouse over the red icon to see how many days remain until the session becomes inactive.


What does the Email Notifications check box do?
When creating a new session in Bluebeam Studio, you will see a checkbox for Email Notifications in the Start Studio Session options. This option enables a Daily Summary of Session activity to be emailed to the Session Host, as well as an alert to new activity in a session the host is not currently attending.


What does it mean to finish a session?
By choosing to finish the session, the host ends the session and removes the documents from the Studio server. The Finish Session dialog allows the host to create the Session Report and select how to save or discard the documents.


What is studio.bluebeam.com?
https://studio.bluebeam.com is the user account management page of the Bluebeam website. Here, users can view their sessions and make changes to their profile.


Why can’t I log into Studio?
You may not have validated your account. A user will not be able to log into the system if the email address has not been validated within 1 week of creating the account.


I work at a large company, whose network policies prevent us from utilizing the Studio service, how should I disable this functionality?
The Revu application connects to studio.bluebeam.com. Configure your firewall to deny access to this site and your users will not be able to use the Studio service.
